In today's dynamically developing world of technology, terms such as artificial intelligence (AI) and process automation are used in all cases. Although they often appear next to each other in industry articles and offers from technology companies, it is a mistake to equate them. Understanding the fundamental differences between these two approaches is key for every entrepreneur, manager, or IT specialist planning to modernize their organization's digital infrastructure. Improper matching of a tool to a problem can lead not only to financial losses but also to unnecessary complication of processes that were intended to become simpler.

What is automation

Automation is, most simply put, replacing human labor with the action of machines or software to perform a specific, repetitive task. The foundation of automation is a rigid set of logical rules based on the pattern: "if X happens, do Y." An automatic system does not reflect on the context or look for new solutions – it simply flawlessly and instantly executes instructions programmed by a human. This can be compared to a production line in a factory: a robot arm will always perform the same movement at the same moment until we change its source code.

In an office environment, automation most often takes the form of RPA (Robotic Process Automation). These are bots that can copy data from an Excel sheet. One of the most serious mistakes is giving in to the fashion for AI and trying to implement advanced machine learning models where a simple script would suffice. AI requires a large amount of high-quality data for learning and significant computing power, which involves high costs. If a problem can be solved with five conditional instructions in the code, implementing a neural network is a waste of resources.

Another mistake is forgetting the human factor. Both AI and automation change the nature of work. Employees may fear job loss, leading to resistance to implementation. The key is communication: technology is meant to relieve people of boring, repetitive tasks, allowing them to focus on creative work, building relationships with customers, and solving non-standard problems in which a human still remains irreplaceable.
